Payment Terms & Conditions - MHQ Hoodies

Payment Terms & Conditions

This page outlines our standard payment terms, accepted payment methods, and settlement procedures for B2B custom hoodie orders. Clear and transparent payment arrangements help establish trust at the early stage of cooperation and ensure smooth order execution.

1. Standard Payment Terms

For most custom hoodie orders, we follow an industry-standard and risk-balanced payment structure:

  • 60-70% Deposit
The deposit is payable after order confirmation and approval of designs or samples. It is used to initiate fabric sourcing, trims customization, and production scheduling.
  • 30-40% Balance Payment
The balance is payable after bulk production is completed and has passed our internal quality inspection. Shipment will be arranged upon receipt of the full balance, and complete shipping documents will be provided accordingly.

This payment structure is widely adopted in the custom apparel manufacturing industry and helps protect the interests of both parties while ensuring production and delivery timelines.

2. Sample Orders and Small Trial Orders

  • Sample Orders
Sample fees are generally required to be paid in full before sampling begins. When a sample order is converted into a bulk production order, the sample cost may be partially or fully refunded, subject to the order value.
  • Small Trial Orders
For small-quantity or low-value trial orders, 100% prepayment is usually required to streamline the process and improve execution efficiency.

3. Accepted Payment Methods

We accept the following payment methods commonly used in international B2B trade:

  • Telegraphic Transfer (T/T)
The most widely used payment method for international bulk orders.
  • Alipay / WeChat Pay
Available for domestic clients or established customers with an existing cooperation history.
  • Other Payment Methods
If you have specific payment requirements, please communicate with us in advance so feasibility can be evaluated.

Note: All payments must be made to our official company bank account. Detailed account information will be clearly stated on the Proforma Invoice (PI).

4. Proforma Invoice (PI)

After order confirmation, we will issue an official Proforma Invoice (PI) that includes the following details:

  • Product description, specifications, and quantities
  • Unit prices and total order value
  • Payment terms and payment milestones
  • Incoterms (e.g., FOB, CIF)
  • Estimated production lead time

The PI serves as the formal basis for payment and production execution. Please review all details carefully before arranging payment.

5. Currency & Exchange Rate

  • The default settlement currency is USD (United States Dollar)
  • Other currencies may be considered upon request during the inquiry stage
  • Any exchange rate difference is subject to the actual amount received

6. Payment Security & Risk Control

To safeguard the interests of both parties:

  • We only accept payments made to our registered corporate bank accounts
  • All payment milestones are directly linked to order progress and are fully traceable
  • More flexible payment arrangements may be discussed for long-term or repeat customers

7. Long-Term Cooperation & Special Arrangements

For brand clients with stable cooperation or annual order volumes, we may offer customized payment solutions, including:

  • Flexible deposit ratios
  • Partial shipments with staged payments
  • Period-based settlement arrangements

If you have any questions regarding our payment terms or need adjustments to align with your internal purchasing procedures, please feel free to discuss them with us during the inquiry stage. We are committed to providing practical and professional solutions tailored to your business needs.
